What does a Service Coordinator do?

As a Service Coordinator you are involved in service and maintenance projects from start to finish. You continuously interact with our customers (captains, shipyards and shipping companies), agents, service partners and our Service Engineers and you are the first point of contact for our customers. When a service/maintenance notification has been received, you create the order and estimate, together with the Technical Support department, as best as possible what is needed to get the job done. Which Service Engineer or service partner do you need, is it available and/or certified, do parts have to be ordered or are they in stock, do you have to take into account the shelf life of products on board, etc? 

After completion of the work, you will receive a report from the Service Engineer and you will ensure that any follow-up actions are followed. You enter the costs incurred on the project, after which you transfer the file to the invoicing department. Within the Service Coordination department you report to the Team leader Service Coordination. Specifically, your activities are:

  • Accepting service requests;
  • planning and managing Service Engineers and service partners;
  • consult with various parties and departments;
  • administrative registration in our ERP system in preparation and after completion of the job;
  • optimizing quality and customer satisfaction together with the other Service Coordinators.

Of course you ensure that all service and maintenance work is properly arranged. However, it can happen that you have to deal with unexpected setbacks. The flight you arranged for your colleague has been canceled, the ships are delayed due to bad weather conditions or a part you ordered is delivered later than expected. Situations that require stress resistance, flexibility and ingenuity. At moments like these, you are able to think clearly about how you can solve this as efficiently as possible. You have contact with national and international parties, so you have to deal with different time zones. You keep many balls in the air at the same time in this job, so it is important that you work in a planned and structured way. Obviously in this role you have a customer-oriented attitude, but at the same time you never forget our own business interests and you monitor the margins. We also ask of you:

  • Associates degree or 3 years of relevant work experience in the sector;
  • some technical knowledge and/or affinity with technology is desirable;
  • knowledge of MS Office programs.
