What does a Service Coordinator do?

A Service Coordinator is responsible for managing and coordinating service activities from initial customer request through to completion and invoicing. The role ensures efficient planning, communication, and execution of service operations, while maintaining high customer satisfaction and operational performance.

Responsibilities & Duties:

  • Coordinate service activities in accordance with company procedures and guidelines.
  • Manage the full service process from request acknowledgment to administrative closure and invoicing.
  • Register and maintain service documentation in ERP systems (Navision) and internal service folders.
  • Select and coordinate with in-house engineers or external service partners in alignment with the Service Manager.
  • Plan and organize service activities efficiently, focusing on First-Time-Fix (FTF) and profitability.
  • Keep customers informed about the progress of their service requests.
  • Coordinate with agents, port authorities, and freight companies (e.g., launches, ISPS, spare parts delivery).
  • Assess whether follow-up actions are required and determine warranty applicability.
  • Prepare quotations for spare parts and equipment related to service activities.
  • Participate in weekly duty rotations (on-call services).
  • Support additional coordination tasks as assigned by the Service Manager.
Education and Experience / Job Competencies
  • Minimum of 2+ years of relevant experience as a Service Coordinator within the marine services industry.
  • Experience with ERP systems (preferably Navision) is an advantage.
  • Strong organizational and coordination skills.
  • Ability to communicate effectively with customers, engineers, and stakeholders.
  • Ability to work in a structured and efficient manner under pressure.
